Essential Duties and Responsibilities:
  • Greeting Visitors: Welcome visitors, parents, students, and staff as they enter the school premises in a friendly and professional manner.
  • Answering Phones: Manage incoming phone calls, take messages, and direct callers to the appropriate staff members or departments.
  • Administrative Support: Provide administrative support to school administrators, teachers, and staff, such as typing correspondence, scheduling appointments, and organizing meetings.
  • Student Attendance: Maintain accurate records of student attendance, including late arrivals, early dismissals, and absences. Follow school procedures for reporting attendance to the appropriate staff members.
  • Student Check-In/Check-Out: Assist with student check-in and check-out procedures, ensuring that proper authorization is obtained from parents or guardians.
  • Parent Communication: Serve as a primary point of contact for parent inquiries and concerns. Communicate information about school events, policies, and procedures to parents as needed.
  • Filing and Record-Keeping: Organize and maintain files, records, and other documents related to student enrollment, attendance, and administrative activities.
  • Mail Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail for postage and delivery.
  • Safety and Security: Monitor the entrance area to ensure the safety and security of students, staff, and visitors. Enforce school security protocols, such as verifying the identity of visitors and issuing visitor badges.
  • Emergency Response: Follow established procedures for responding to emergencies, such as medical incidents or security threats. Communicate effectively with appropriate personnel and emergency responders.
  • Supply Management: Maintain inventory of office supplies and place orders as needed to ensure adequate stock levels.
  • Professionalism and Confidentiality: Maintain a professional demeanor at all times and handle sensitive information with discretion and confidentiality, especially regarding student and personnel records.
